  • Oversee lot-level traceability, and maintain accurate documentation of all inbound and outbound shipments.
  • Coordinate with Quality Assurance on retention sample collection, product quarantine, and release protocols.
  • Enforce safety protocols and contribute to a clean, organized, and hazard-free warehouse environment.
  • Train and manage warehouse staff on SOPs, inventory movement, and operational efficiency.

Purchasing & Inventory

  • Create, issue, and manage purchase orders for raw materials, packaging, MRO, and operational supplies.
  • Establish and maintain strong relationships with vendors; evaluate vendor reliability and performance.
  • Monitor stock levels and lead times to optimize inventory flow, prevent production delays, and minimize carrying costs.
  • Maintain accurate vendor/item master data in NetSuite; track material usage, shelf life, and reordering needs.
  • Collaborate with R&D, Production, and QA to forecast demand and support product launches.

Document Control & Compliance

  • Ensure all receiving, shipping, and warehouse records meet FDA and industry standards for documentation and traceability.
  • Organize and maintain Certificates of Analysis (COAs), specifications, and supplier documentation.
  • Support internal and external audits by maintaining clean, audit-ready records and participating in inspection readiness.

Systems & Reporting

  • Utilize NetSuite ERP for purchasing, receiving, inventory adjustments, and reporting.
  • Build and manage Google Sheets dashboards to provide real-time visibility of inventory, POs, and procurement metrics.
  • Analyze supplier and inventory performance data; implement process improvements and cost-saving initiatives.

Qualifications

  • 7+ years of warehouse and/or purchasing management experience, preferably in the dietary supplement, food, or nutraceutical industries.
  • Strong knowledge of GMP, FDA compliance, and traceability best practices.
  • Proficiency in NetSuite ERP is required.
  • Advanced Google Sheets skills (VLOOKUP/XLOOKUP, pivot tables, filtering, formulas).
  • Exceptional organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills, with the ability to collaborate effectively across departments.
  • Demonstrated experience in training and mentoring warehouse teams.
  • Forklift certification (or willingness to obtain within 90 days of employment).

Work Environment

  • Role is split between office (administrative tasks) and warehouse (operations oversight).
  • Requires occasional lifting (up to 50 lbs), walking, standing, and forklift usage.
  • Frequent collaboration with Quality, Production, and R&D teams in a dynamic, fast-paced environment.

Compensation & Benefits

  • Competitive base salary commensurate with experience.
  • Full benefits package including health, dental, vision, and paid time off.
  • Opportunities for career development and advancement in a high-growth, mission-driven company.
